All participants of the Symposium (delegate, speakers and sponsors) must be registered and have a correct name badge. Due to strict insurance conditions there are absolutely no ‘shared’ registrations. Delegates not able to attend for the full Symposium should register for “day” attendance.

Registration Categories
‘Early’ Registration – for all full registrations received prior to 5pm on Friday 4th July 2025. To be eligible for this rate, payment must be received within 14 days of the early registration cut-off date. If payment is not received within this time, regular rates will automatically apply. Each full early registration includes all symposium materials and daytime catering for four days; one ticket for the welcome reception, and symposium dinner.
Full Registration – for all full registrations received after 5pm on Friday 4th July 2025. Inclusions for all full registrations (‘Early’ and Regular): All symposium materials and day time catering for all days of the conference. Each full early registration includes all conference materials and daytime catering for four days; one ticket for the welcome reception and conference dinner.
Student/Retiree Full Registration – This rate is available for full-time students (must produce a current student ID at registration) and retired delegates. Each student/retiree full registration includes all conference materials and daytime catering for four days; one ticket for the welcome reception and conference dinner.
Day Registration – For delegates who are only able to attend one day of the Symposium, there is a “Day Registration” rate available for attendance on the Monday, Tuesday, Wednesday or Thursday only. Due to strict insurance considerations, ‘shared’ registrations are NOT allowed. Inclusions for day registrations: All Symposium materials and daytime catering for chosen day. Does not include entry to social functions, however, attendees can purchase tickets for these events separately.
MCAA Membership – Only current financial Members of MCAA may register at the discounted “Member” rates.
Registration Conditions
Payments
Payment is required to confirm registration and is due 14 days after your completed registration form is received.. All delegates must be paid in full 7 days prior to the Symposium. Please note that this is a strict condition of registration.
Credit Card
Visa and Mastercard only are accepted and will incur a 1.8% surcharge. Credit card payments will be shown on your credit card statement as payment to East Coast Conferences.
Tax Invoice and Receipts
Please note that once paid, the Registration Form is recognised by the Australian Tax Office as a compliant Tax Invoice. Once payment has been received, a delegate confirmation letter will be posted or emailed to the address given (please indicate your preference for email or posted confirmation on the registration form).
Billing Address
Please include Billing Address details on the registration form if applicable. All payment related correspondence (i.e. invoices and receipts) will be sent to the Billing Address.
Refunds and Cancellations
: All cancellations must be made in writing to East Coast Conferences. Registration fees will be refunded less a 25% cancellation fee prior to 5pm on Friday 4 July 2025. After this date, we regret that no refunds will be made, however substitute delegates will be accepted. Please note that cancellation fees will apply whether or not payment is received at the time of registration. By submitting the registration form, you are agreeing to these conditions.
Shared Registrations
Due to strict insurance conditions, shared registrations are not permitted. Attendees not able to attend for the full Symposium should register for day rates. Please note one registration form with payment must be received per attending delegate.
Insurance
Delegate’s registration and social function ticket fees do not include insurance of any kind. The organisers recommend taking out an insurance policy of your own choice with your local insurance or travel agent.
Dietary Requirements
We cater for guests who require a vegetarian, gluten free meal or food allergies (such as nut, shellfish or egg). However, any lifestyle meal requests may be subject to a menu surcharge. All dietary requirements need to pre-arranged at least 7 days prior to the commencement of the Symposium.
Privacy Policy
East Coast Conferences complies with all legislation which is designed to protect the rights of the individual to privacy of their information, including the Privacy Act 1988 (Cth). Information collected with respect to your registration for participation in this Conference will only be used for the purposes of planning, conduct of the event or communication regarding future events. These details may be made available to parties directly related to the Symposium including but not limited to East Coast Conferences, host council, venues, accommodation and travel providers (for the purposes of room/travel bookings and symposium options), key sponsors (subject to strict conditions) and other related parties as deemed necessary. It is also usual practice to produce a ‘Delegate List’ of attendees at the Symposium and to include the individual’s details in such a list. By registering to attend this Symposium, you acknowledge that the details supplied by you may be used for the above purposes. It is your responsibility to ensure that all information provided to the East Coast Conferences is accurate and kept up to date. Photography
By attending this Symposium, you grant both East Coast Conferences and the host councils the right to use your image and likeness for marketing and promotional purposes, unless you specifically request removal of the photo or video in writing by emailing your details, the photos details and the Conference name to jas@eastcoastconferences.com.au detailing your request.
Liability/Insurance
In the event of industrial disruptions or natural disasters East Coast Conferences and the host council cannot accept responsibility for any financial or other losses incurred by the delegates. East Coast Conferences and the host council take no responsibility for injury or damage to persons or property occurring during the Symposium. All insurance, including medical cover, or expenses incurred in the event of the cancellation of the Symposium is the individual delegate’s responsibility. Delegates are encouraged to choose a travel insurance policy that includes loss of fees/deposits through cancellation of your participation in the Conference, or through the cancellation of the Conference itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. East Coast Conferences and the host council will take no responsibility for any participant failing to insure.
Force Majeure
East Coast Conferences shall not be liable for any loss caused by the cancellation of the Symposium where such cancellation is due to Force Majeure. The organisers will use all reasonable efforts to conduct the conference despite the intervention or occurrence of any such cause.
In this clause, Force Majeure means circumstances which are beyond the reasonable control of East Coast Conferences and which are reasonably likely to affect East Coast Conferences successful delivery of the Event or would make it inadvisable, impracticable, illegal, or impossible for a party to perform its obligations as originally contracted under this Agreement, including: fire, flood, earthquake, extreme adverse weather conditions, failure of electric power, gas, water, or other utility service, collapse of building structures, widespread disease or other public health emergency (including pandemic or epidemic), strike or other industrial action, the outbreak or declaration of war, act of terrorism, revolution or government orders or action (including the declaration of a State of Emergency).
If, as a result of Force Majeure, East Coast Conferences cancels the Event/s, ECC shall use reasonable commercial endeavours to reschedule the Event.
Without prejudice to its obligations East Coast Conferences accepts no liability and will not be liable for any compensation where the performance of its obligations under this Agreement is affected by Force Majeure.
